Instructions - WiseEconomy: Crediting a Sales Invoice

If an incorrect invoice has been sent to the customer, it must be credited. The sent invoice should not be deleted to ensure that the sales are not recorded incorrectly in the accounts.

1. Once you have found the invoice to be credited, click on "Add" in the bottom left corner of the invoice view, then click on "Make credit note".


2. The system generates a draft credit note in a new tab.
The credit note's date is automatically set to the current date, but you can modify it if necessary.


3. If the customer is a consumer, it's not advisable to send them a credit note. Instead, it's better to arrange with the customer that they won't pay the invoice. For this purpose, the system has a billing method: "Paper" which allows you to allocate the credit note to the incorrect invoice.

For many business customers, however, receiving credit notes is common practice. In such cases, you would use the same billing method as the original invoice so that the business customer receives the credit note in their accounts payable.


4. Once the billing method is selected, review the product lines on the credit note. The product lines are identical to those on the original invoice, but the prices on the credit note are negative.
So, if the original invoice had two product lines, both of these product lines will appear on the credit note with negative prices.


5. Save the credit note by clicking on "Save".


6. Confirm the credit note by sending it, thereby associating the credit note with the original invoice. Click on "Send".


7. In the credit note's processing history, a link to the original invoice is created, and in the processing history of the original invoice, there is also a link to the credit note. The status code of the invoice is now "credited."
The credit transaction is recorded in the invoice log on the additional information tab of the invoice.
