Instructions - WiseCMS: File Management

File management helps keep the company's images organized and makes them easier to utilize in various parts of the website.

Important notes about file management:

If you delete an image from file management that is in use on the website, the image will no longer be visible.

Currently, in file management, you cannot change the filenames of files that have been added there. For example, if an image is being used on the website and you change its name in file management, the image will disappear from view.

You cannot currently change the location of images in file management. Therefore, it's important to initially name images sensibly and place them in the correct folders in file management.


Navigating to File Management

There are several ways to access file management.

1. You can access the company's file management / media library at the following address:

media.yourcompanydomain.fi

Note: Replace "yourcompanydomain" with your company's actual domain.

For example, WiseNetwork's own file management is located at media.wisehelp.fi.


2. You can also navigate to file management from the website view (not from the admin side) by following this path:
Homepage → Media Library


3. The third way to access file management is through the image element of an article by clicking

→ "Add image"


Creating a New Folder

In file management, you can create a new folder by clicking on the three dots in the top right corner of the page.

From the dropdown menu that appears, click on

→ "New folder"


Adding Images to a Folder

1. From the main page of file management, select the folder where you want to upload images.

You can also upload images directly to the main page, but folders help organize and locate images more easily in the future.

Note: Currently, you cannot change the location of images added to file management, so it's important to place images in the correct folders from the beginning.


2. To upload a new image to the server, click on the three dots in the top right corner of the page.

From the dropdown menu that appears, click on

→ "Upload files"

(You can also add subfolders under folders by selecting "New folder" at this point.)


3. Click on "Select files" in the popup window that appears.

This will open your device's file manager.


4. Select the desired files from your device.

You can transfer multiple images/files to file management at once.


5. In the popup window, you'll see the files to be uploaded. Click

"Upload"

Note: It's best to save images on your own computer with clear filenames: short names without special characters, spaces, or accents. Underscores work well for naming files.


6. The images are now on the server in the folder where they were uploaded and are ready to be used on the website.

Images are sorted alphabetically within folders.


Creating a Photo Gallery for the Website

1. Using file management folders makes it easy to create a photo gallery for the website.


2. Create an article or navigate to the article where the photo gallery should be added.

In the article editing mode, select the "new photo gallery" element from the content editor on the right side of the page, and drag it to the desired location on the page (or click on the element to place it at the bottom of the page).


3. From the pencil icon on the right side of the photo gallery element, you can select the desired folder from file management. The content of this folder will be displayed in the photo gallery.


4. Select the desired folder from the dropdown menu.


5. Confirm the folder selection by clicking "Save".

Remember to also save the article/page itself using the "Publish" button.

Note: The images in the photo gallery will appear in alphabetical order, so attention should be paid to this when uploading images to the folder.
