Instructions - WiseMarketing: Limiting the Number of Responses in the Data Collection Tool

Instructions on how to limit who can respond to a survey in the data collection tool and how many times they can do so.

1. User-specific limits on response counts

It is possible to set limits on the number of responses per user in data collection. In these cases, the data collection process requires identifying information about the user. This typically means that the form asks for the respondent's personal information or the respondent must be a registered user in the system.


Method 1. The form/survey asks for the respondents' personal details

Often, surveys (such as feedback forms, raffles, competitions, contact requests, etc.) ask for the personal details of respondents. When it is desired that respondents fill in their contact details, add a "personal details" element to the data collection form on the "editor" tab.

Personal details are requested, and only one response is allowed

When a "Personal Details" element is added to the form in the data collection editor, a checkbox is automatically marked under the "Restrictions" section:

→ "Contact details element is found"

The Personal Details element automatically limits the number of allowed responses to one per set of personal details (with the identifying information being the email address).

When a "Personal Details" element is added to the form in the data collection editor, a checkbox is automatically marked under the "Restrictions" section:

→ "Contact details element is found"

If multiple responses with the same personal details are to be allowed for respondents, a checkbox is marked at:

→ "Allow multiple answers"

If desired, the number of responses can still be limited to a certain number, but this is not mandatory.



Method 2. Survey targeted at registered users

The data collection form and the responses can be limited to only the system's registered users, meaning those individuals who have usernames and passwords for the system. This way, the survey form can be targeted and used to gather information, for example, from a company's own staff or members.


Registered Respondent and Only One Response Allowed

When creating a survey in data collection that only the service's registered users can respond to, check the box:

→ "Only for registered users"

In this case, a user can only respond to the survey once.

When creating a survey in data collection that only the service's registered users can respond to, check the box:

→ "Only for registered users"

If multiple responses are to be allowed for respondents, check the box:

→ "Allow multiple answers"

If desired, the number of responses can still be limited to a certain number, but this is not mandatory.


2. Creating an anonymous survey

Responses as Anonymous

When creating a form in data collection where responses are to be anonymous (e.g., a general anonymous feedback form), no changes are made to the "restrictions" section.

Also, do not add any "personal details" or "business information" elements that would identify the respondent in the survey form editor.


3. Limitin the maximum number of responses

In a survey implemented with the data collection tool, a maximum number of responses can be set for all participants in the survey.
