Guide - WiseCRM: Task Management

Through the system, you can also create task-type activities for organizing work. Tasks differ from other activities in that they can be assigned a start and end time, and their completion can be monitored.

Tasks page

Tasks Page To view tasks created in the system or to create new ones, select:

→ "CRM"
→ "Work"
→ "Tasks"

The tasks page compiles a list of all activities added to the system that are of the "task" type. From this page, you can see the person responsible for the task, the people and customers involved, and the dates related to the task.

Tasks can be searched for or filtered using the search fields at the top. The information in the columns can be sorted in ascending/descending order by clicking the column header.

    Changing the Task Status

You can modify the task status using the arrows in the "Start Task" column (this opens the task editing).

When the work task has been started, it can be moved to the "In Progress" status. Once the task is completed, it can be moved to the "Ready" status.

    • If a task is in the "Not Started" status, the deadline will be visible in the listing.
    • If a task is "In Progress", the start time and deadline will be visible.
    • If a task is "Completed", the start time and completion time will be visible.

Adding a New Task to the System

The task list on the Tasks page accumulates content from tasks added from the following sections:

    1. Adding a Task from the Tasks Page

A new task can be created from:

    → "CRM"
    → "Work"
    → "Tasks" And by selecting
→ "Add Task" from the top of the page

This opens the task card where you can add task details.

    2. Adding a Task from the Quick Button (+ sign)

Tasks can be added from the quick button found in the top menu on the admin side of the system.
Select the + sign from the top menu.
This opens the task card for editing.

Information to be Entered on the Task Card

    1. Add general information, title, and description for the task.

    2. Add any customer who is involved or related to the task, along with the contact person from the customer company.

    3. In the "Responsible Person" field, link the person responsible for the task.

Note: This person must be linked to the company's persons tab.

    4. In the "Status" field, you can set the progress status of the activity: "Not Started", "In Progress", "Ready" or discarded.

    5. Set the start and end times for the task.

However, the task does not automatically move to "In Progress" after the start time, nor to "Completed" after the end time; these must be done manually.

    6. Assign a calendar in which the task will be visible, such as the sales calendar.

    7. Set the priority of the task according to its importance (high to low).

    8. Indicate whether the task is billable.

    9. In the "Reminders" section, add an email reminder for the owner, for example, one hour before the task.

Note: The email reminder will only be sent to the marked owner of the task, not to all participants.

    10. When the task details are filled in, select "Save".
